This is a sample. The appointment, the people and the company in it are invented: nobody’s real file goes on a website. Everything else is exactly what a client gets back.

The verdict

Sold.

Dave signed for the full window package, but Karen never said a word about the color and she is the one who cares. Call her directly tomorrow, before the paperwork gets cold.

Who was in the decision

Missing from the decision

Karen. She was in the room for the full 70 minutes and was asked one direct question. On color, grilles, and anything aesthetic she is the decision-maker, and she never agreed to anything out loud.

Signed by one half of a decision that needed both. The question is no longer whether this closes. It is whether it stays closed once the person who never agreed out loud sees the paperwork.

Protect it

The punchlist

It sold. These are the loose ends that protect it, and what closes each one.

Already nailed down

Dave is sold on the product and signed for the full package. The scope, the low-E upgrade and the winter install window are all agreed, and none of that is in doubt.

1

Karen never agreed to anything out loud. She was in the room for seventy minutes and was asked one direct question.

Show what was said

“Yeah, that’s fine. Whatever you two think.”

Closes it

Call Karen directly, not the house line, and get a yes from her on the recommendation in her own words.

2

Color and grilles are undecided. Dave said “whatever Karen wants” and the conversation moved on without Karen answering.

Closes it

Two specific color options and the grille question, put to Karen on that same call.

3

The total was stated once, early, before the scope grew from 12 windows to 14 plus the slider. The final number has never been said out loud.

Show what was said

“So with the two extra and the slider you’re looking at about four ten a month.”

Rep · 58 min
Closes it

Say the final contract number to both of them, out loud, and confirm they have heard the same figure.

4

Financing carried the back half of the conversation as a monthly payment, so the monthly is the number they remember.

Show what was said

“It’s zero percent, so it’s really just the monthly you have to think about.”

Rep · 57 min
Closes it

Confirm in writing whether the 0% term is 18 or 24 months, alongside the total.

Do not drop these

What you promised

Every commitment, including the small ones. This is the list that gets forgotten.

  • Email the low-E spec sheet and the U-value comparison against the competitor’s quote by Friday.

    Show what was said

“I’ll email you the low-E sheet with the U-values side by side, tonight or first thing.”

    Rep · 22 min
  • Send two grille pattern photos from the Harleysville job for Karen to look at.

    Show what was said

“I’ll send you two grille photos from the Harleysville job, that brick is almost identical.”

    Rep · 44 min
  • Confirm whether the slider can be installed the same day as the windows or needs a second crew visit.

    Show what was said

“Let me check whether the slider goes in the same day or if that’s a second visit.”

    Rep · 36 min
  • Check whether the 0% financing term runs 18 or 24 months and confirm in writing.

    Show what was said

“I’ll confirm in writing whether that term is eighteen or twenty-four months.”

    Rep · 59 min
  • Ask the office about protecting the hydrangeas along the back wall during install.

    Show what was said

“I’ll ask the crew lead how they protect plantings along a work wall.”

Pushback

What they pushed back on

What they said, and what was actually behind it.

“We got a quote from another company about three weeks ago and it was quite a bit lower.”

31 min
What it actually meant

Dave wanted reassurance he was not overpaying, not a price reduction. He never asked for a discount.

What settled it

The rep asked what was included in the other quote before responding, and the comparison came apart once the low-E package was itemized.

“We were sort of thinking about maybe doing this in the spring.”

48 min
What it actually meant

Almost certainly Karen. Dave said “we were thinking,” but he had already agreed to the winter install twice before this came up.

Left unresolved

Nobody asked what spring would change. It went to the parking lot with everything else Karen never said out loud.

Start to finish

How the appointment ran

  1. The mental game

Arrived settled, no rushing, and opened by noticing the new landscaping rather than launching into the pitch.

  2. Preparation

Knew the lead came from the home show and referenced the window count from the booking call.

  3. The first three minutes

Gave a clear agenda statement for the visit and set an end time.

  4. Needs discovery

Got a strong Layer 2 answer from Dave about the cold bedroom and the daughter moving rooms.

  5. Stakeholder alignment

Both were in the room the entire time, but Karen was addressed directly once in 70 minutes.

  6. Presenting the solution

Tied the low-E coating directly back to the cold bedroom Dave described, which is exactly right.

  7. Objection handling

Handled the competitor quote well, by exploring what was in it instead of attacking the number.

  8. Closing & follow-up

Asked for the business directly and got a yes, from Dave.

Personal

Worth remembering

Use one of these next time you speak to them. It’s what makes a follow-up read as human.

  • Daughter Emma, 14, moved into the guest room in December because her bedroom was too cold.
  • Dave restores a 1972 Bronco in the detached garage. Two years in, still on bodywork.
  • Karen planted the hydrangeas along the back wall last spring and mentioned them twice. She is worried about the install crew.
  • Bought the house in 2019; the previous owners had done nothing to it since the nineties.
  • Dave works second shift at a plant in Quakertown, home by 1am, so mornings are not good for calls.
Worth noticing

A couple of things worth noticing

The discovery on Dave was genuinely good. You got past what he wanted to why it mattered, and the cold back bedroom with his daughter moving in is the kind of detail that makes a recommendation land. The gap was that all of it came from one of the two people in the room.

The number moved when the scope grew and never got restated. Everything downstream of that (the financing framing included) was built on a figure that is now out of date.

One thing to work on

Before you present anything, get the quieter person in the room to say out loud what they want out of the project. One question, early, aimed at them by name. It is the cheapest insurance there is against a signature that only half the household agreed to.
